Job Description

JOB SUMMARY:

CDG Maui Inc. is looking for a responsible Project Administrator who can support the Project Management staff by overseeing and executing administrative and coordination tasks in the areas of subcontracts, submittals, specifications, reports, and closeout documents. This role ensures all aspects of project documentation, compliance, and communication are managed accurately and in a timely manner.

Duties & Responsibilities:

Close-Out Documentation:

  • Assist the Project Manager with creating and organizing submittals for closeout documents and project start-up.
  • Ensure all closeout documents are sent to the project owner after completion.
  • Update project specifications in the design spec system to communicate changes to the field team.

Subcontractor Management:

  • Prepare subcontracts for the Estimator to send to subcontractors.
  • Coordinate and follow up with vendors and subcontractors to complete project assignments.

Administrative Support:

  • Maintain and update project files and documentation needed by the Project Management Staff.
  • Organize and manage filing systems for project records to ensure accessibility and accuracy.

Contract Management:

  • Oversee the administration of construction contracts to ensure they are managed in a timely and compliant manner.

Reporting and Communication:

  • Create and manage reports and spreadsheets as assigned by the Supervisor.
  • Facilitate clear and professional communication with all stakeholders, including supervisors, subcontractors, and vendors.

Qualifications

  • Proven experience in project administration, preferably in the construction industry.
  • Proficiency in office productivity software (e.g., Microsoft Office Suite).
  • Strong understanding of project management principles and contract administration.
  • Excellent verbal and written communication skills.
